How to use Mitra alerts so you never miss a GeM tender

Set up Mitra alerts by GeM category, keyword and state, get new matching bids on WhatsApp and email every morning, and use the eligibility check to decide fast.

Why alerts beat checking the portal

New GeM bids are published every day and many close within one to three weeks. If you depend on someone remembering to search the portal, you will find some bids too late to arrange documents, OEM letters or EMD. Mitra's alerts do the searching for you and send what matches, every morning.

Step 1: set up your company profile

Add your company details — turnover, years in business, MSE/startup status and the like. Mitra uses them to run an eligibility check on each tender, so you can see at a glance whether you meet conditions such as turnover and experience, or qualify for an exemption. The more complete the profile, the more useful the check.

Step 2: create alerts by GeM category

The most reliable alerts are built on GeM categories, because every bid is created in one. Add each category you can genuinely supply. Then add keyword alerts for the things categories might miss — items buyers describe in their own words, or custom bids.

  • ✓Category alerts: the exact GeM categories in your catalogue
  • ✓Keyword alerts: product names and common words buyers use
  • ✓Location: the states (and cities) where you can deliver
  • ✓Save any search on the tenders page as an alert

Step 3: read the morning summary

New matching tenders arrive on WhatsApp and email in the morning with a short summary. Open the ones that fit, look at the eligibility check, and shortlist. Your alerts also appear together in one feed in your Mitra account, so you can work through them in one place.

Step 4: decide fast, then prepare

  • ✓Check the end date, EMD/exemption, eligibility verdict and consignee locations
  • ✓Download and read the full bid document for ATC and specifications
  • ✓Request OEM authorisation or certificates the same day if needed
  • ✓Save the tender so you can find it again and track it to the result

Example: a good alert setup

Say you supply office furniture in two neighbouring states. A useful setup has one alert for each GeM furniture category you are listed in (chairs, tables, storage and so on), limited to the two states, plus a keyword alert for words buyers often type into custom bids, such as the product name in plain language. Leave out categories you cannot deliver on time or keep in stock: an alert you always ignore trains you to skip the morning summary.

If you are a service provider, think in terms of the service and the site. Manpower, housekeeping or vehicle hiring bids are tied to a location, so the state and city filter matters more than for products that can be shipped anywhere.

Shortcut pages for common filters

Besides your own alerts, Mitra keeps ready-made listings that are updated through the day. Use them to look around beyond your saved categories, or to check a filter quickly before you save it as an alert.

  • ✓Tenders without EMD and tenders with MSE exemption, overall and per state (for example /tenders/no-emd/uttar-pradesh)
  • ✓Tenders closing this week and new today, per state, to plan the week's bids
  • ✓Reverse auction and high value tenders, if you want to prepare for price rounds or larger contracts
  • ✓Tender results and archive, to see which buyers award in your category and at what prices

Tune your alerts every few weeks

If you get too many irrelevant tenders, remove broad keywords or narrow the states. If you hear of bids you did not receive, add the category or keyword they used. Also browse Mitra's listings — new today, closing today, by category, state, ministry and department — to spot buyers and categories you are not yet watching.
