This Refund Policy forms an integral part of the Mitra Tender Terms and Conditions and Privacy Policy. By subscribing to or using any paid services on the Mitra Tender Platform, you agree to be bound by this Refund Policy.

GENERAL PRINCIPLES

1. INTRODUCTION Mitra Tender offers both free and paid subscription plans for access to tender aggregation, AI-powered tools, alerts, analytics, and other premium features. This Refund Policy clearly outlines our approach to refunds, cancellations, and billing disputes.

2. PURPOSE OF THIS POLICY The purpose of this policy is to maintain transparency while protecting the Platform’s resources, which include significant infrastructure, AI processing, data aggregation, and continuous service delivery costs.

3. ACCEPTANCE By purchasing any paid plan or starting a subscription, you expressly acknowledge and accept the terms of this Refund Policy.

4. GENERAL REFUND RULE Mitra Tender follows a strict “No Refund” policy once the service has started. Once your subscription is activated and you gain access to the Platform’s paid features, no refunds will be issued for any reason, including change of mind, non-usage, or partial use of the service.

5. NON-REFUNDABLE NATURE OF FEES All subscription fees, one-time charges, setup fees, or any other payments made to Mitra Tender are non-refundable after the service commencement. This includes monthly, quarterly, half-yearly, or annual subscriptions.

6. SERVICE COMMENCEMENT Service is considered to have started immediately upon:

Successful payment processing and account activation, or
Granting of access to paid features (whichever occurs earlier).

7. NO PARTIAL REFUNDS We do not provide pro-rated refunds, partial refunds, or credits for unused portions of a subscription period. You are responsible for the full subscription amount once the service begins.

8. FREE TRIALS If you are on a free trial period:

No charges apply during the trial.
If you do not cancel before the trial ends, your paid subscription will automatically begin, and the No Refund policy will apply thereafter.
We reserve the right to modify or withdraw free trials at any time without notice.

EXCEPTIONS & SPECIAL CASES

9. LIMITED EXCEPTIONS TO REFUND POLICY Refunds may be considered only in exceptional circumstances at the sole discretion of Mitra Tender management. Such cases may include:

Technical failure on our end that completely prevents access to the service for more than 7 consecutive days (after we have been notified and failed to resolve it).
Clear billing error where you were charged for a plan you did not select.

Even in such cases, refund is not guaranteed and will be evaluated case-by-case.

10. NO REFUND FOR AI USAGE OR DATA ACCESS Because the Platform provides immediate access to tender data, AI tools, document parsing, alerts, and historical archives upon activation, refunds will not be provided for:

Use of AI chat or proposal generation
Viewing or downloading tenders
Setting up alerts or saving searches
Any data or insights already accessed

11. CANCELLATION OF SUBSCRIPTION

You may cancel your subscription at any time through your account dashboard.
Cancellation will take effect at the end of the current billing cycle.
You will continue to have access until the end of the paid period.
No refund will be issued for the remaining period after cancellation.

12. DOWNGRADE OR PLAN CHANGE Downgrading a plan will take effect from the next billing cycle. No refund or credit will be given for the difference in the current cycle.

13. PAYMENT DISPUTES & CHARGEBACKS

Initiating a chargeback, dispute, or reversal with your bank/card provider without contacting us first is strictly discouraged.
If a chargeback is filed, we reserve the right to suspend or terminate your account immediately.
Any costs incurred by us due to wrongful chargebacks (including legal fees) may be recovered from you.

14. REFUND PROCESS (IF APPLICABLE) In the rare case a refund is approved:

It will be processed to the original payment method within 10–15 business days.
We do not bear responsibility for delays caused by your bank or payment gateway.

15. AUTO-RENEWAL Subscriptions automatically renew unless cancelled before the renewal date. It is your responsibility to cancel in time if you do not wish to continue.

USER OBLIGATIONS & DISCLAIMERS

16. YOUR RESPONSIBILITY Before purchasing any paid plan, you are strongly encouraged to:

Carefully review all features and pricing
Utilize the free tier or trial (if available) to evaluate the service
Read the full Terms and Conditions and Privacy Policy

17. NO REFUND FOR VIOLATION OF TERMS If your account is suspended or terminated due to violation of Terms and Conditions, Privacy Policy, or any prohibited activity, no refund will be provided for any unused portion of the subscription.

18. TAXES AND ADDITIONAL CHARGES All taxes, GST, or other government levies paid are non-refundable.

19. MODIFICATION OF REFUND POLICY We reserve the right to modify this Refund Policy at any time. Any changes will be posted on the Platform with the updated effective date. Continued use of paid services after such changes constitutes your acceptance of the revised policy.
