This Cancellation Policy is an integral part of the Mitra Tender Terms and Conditions and works together with the Refund Policy. By subscribing to any paid services on the Mitra Tender Platform, you fully agree to this Cancellation Policy.

GENERAL PRINCIPLES

1. INTRODUCTION Mitra Tender offers subscription-based access to its AI-powered tender aggregation platform, including premium features such as advanced search, AI document parsing, proposal generation, personalized alerts, and analytics. This policy governs how you may cancel your subscription.

2. PURPOSE OF THIS POLICY The purpose is to provide clear rules regarding cancellation while protecting the Platform’s operational costs, data infrastructure, and continuous service delivery.

3. ACCEPTANCE By purchasing or activating any paid subscription plan, you expressly acknowledge and accept the terms outlined in this Cancellation Policy.

4. CANCELLATION ELIGIBILITY Cancellation is allowed only for active paid subscriptions. Free accounts can be deleted anytime through the account settings.

5. HOW TO CANCEL YOUR SUBSCRIPTION You may cancel your subscription at any time through:

  • Your account dashboard (Settings > Subscription > Cancel Subscription)
  • Emailing us at support@mitratender.com (with your registered email and reason)

We recommend using the in-app dashboard for instant processing.

6. WHEN CANCELLATION TAKES EFFECT

  • Cancellation will take effect at the end of the current billing cycle.
  • You will continue to have full access to all paid features until the last day of your paid period.
  • No early termination of access will be provided unless we decide otherwise.

7. NO REFUND ON CANCELLATION As per our Refund Policy, no refunds will be issued upon cancellation for any unused portion of the current billing cycle. You are responsible for the full fee for the period you subscribed to.

8. AUTO-RENEWAL AND CANCELLATION TIMING

  • All paid subscriptions automatically renew at the end of each billing cycle.
  • To avoid the next charge, you must cancel before the renewal date.
  • If you cancel after the renewal has occurred, the cancellation will apply to the following cycle.

9. DOWNGRADE REQUESTS

  • You may downgrade your plan through the dashboard.
  • The downgrade will take effect from the next billing cycle.
  • No refund or credit will be given for the difference in the current cycle.

10. CANCELLATION OF ANNUAL SUBSCRIPTIONS Annual plans follow the same rule β€” cancellation takes effect at the end of the 12-month period. You will retain access until the end of the paid year. No pro-rated refunds are provided.

CONSEQUENCES & SPECIAL CASES

11. EFFECT OF CANCELLATION Upon cancellation becoming effective:

  • Your access to paid features will end.
  • You will be downgraded to the free plan (if available) or your account may become limited.
  • Any saved searches, alerts, or custom settings may remain accessible under the free tier limitations.
  • AI usage credits or unused quota will expire and will not be carried forward.

12. DATA AFTER CANCELLATION Your uploaded documents and personal data will be handled as per the Data Retention section in the Privacy Policy. You may request deletion of your data by contacting support.

13. NO CANCELLATION FOR VIOLATIONS If your account is suspended or terminated by us due to breach of Terms and Conditions, Prohibited Activities, or misuse, cancellation will not be allowed, and no refund or credit will be provided.

14. EXCEPTIONAL CIRCUMSTANCES We may, at our sole discretion, allow early cancellation or provide limited relief only in rare cases such as:

  • Prolonged technical outage (more than 15 consecutive days) that we could not resolve despite notification.
  • Serious billing errors proven on our end.

Such requests will be reviewed case-by-case and are not guaranteed.

15. CHARGEBACKS AND DISPUTES Attempting to cancel the subscription by filing a chargeback or dispute with your bank/payment provider (without first contacting us) will be treated as a violation. We reserve the right to suspend your account and pursue recovery of any losses.

16. CANCELLATION BY MITRA TENDER We reserve the right to cancel or suspend your subscription at any time if:

  • You violate any part of the Terms and Conditions or this Policy
  • You engage in prohibited activities
  • There is suspected fraudulent activity
  • It is required by law or government order

In such cases, no refund will be issued.

17. NOTIFICATION OF CANCELLATION

  • When you cancel, we will send a confirmation email to your registered email address.
  • We recommend you keep this confirmation for your records.

18. MODIFICATION OF CANCELLATION POLICY Mitra Tender reserves the right to update or modify this Cancellation Policy at any time. Any material changes will be notified via email or a prominent notice on the Platform. Your continued use of the service after such changes constitutes acceptance of the revised policy.

USER OBLIGATIONS & CONTACT

19. YOUR RESPONSIBILITY BEFORE CANCELLATION Before cancelling, we strongly advise you to:

  • Download or export any important data, saved tenders, or generated documents.
  • Review your usage and ensure you no longer need the paid features.

20. NO LIABILITY FOR LOSS AFTER CANCELLATION We are not liable for any loss of access, data, or business opportunity after your subscription is cancelled (whether by you or by us).

21. RELATIONSHIP WITH REFUND POLICY This Cancellation Policy must be read along with the Refund Policy. Cancellation does not entitle you to any refund except in the extremely limited exceptional cases mentioned.

22. GOVERNING LAW This Cancellation Policy is governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of courts in Delhi, India.
